Sign Up to Dext Prepare
- Open https://app.receipt-bank.com/signup if you are a first-time user of Dext to create an account.
- You can use any email address to set up the account, as you will be allowed to enter the business account credentials for the connection later on after the setup.
- Enter your Full Name, Email, Password and Location. Ensure that the password contains lowercase letters, at least 8 characters long, and contains two capital letters, numbers or symbols.
- Tick the Terms and Conditions and Privacy Policy checkbox.
- Click on the Signup button.
- You have now signed up for Dext Prepare.
Note: You can skip this if you already are signed up for Dext.
Connecting Dext Prepare to BrightBooks
Tax Rate Syncing Issue with DEXT
After reconnecting your integration with DEXT, if tax rates are not synchronizing properly, check if your tax data settings have been published correctly on the Dext side. Each time an integration is complete, these settings must be updated and published to ensure they are pulling through as expected. Refreshing integration data may also aid in resolving such issues.
Follow these steps to integrate your BrightBooks business with Dext Prepare:

Log In to Dext Prepare: Visit Dext Prepare and log in using your credentials to access the business you wish to integrate with BrightBooks.

View Getting Started Information (Optional): Dext Prepare may provide initial setup information. Review this guidance if necessary.

Navigate to Integrations: On the left panel, select MANAGE and then click Connections > Integrations.

Choose Integration Software: In the Integration section, click Choose Software.

Select BrightBooks: From the list of available software, click the BrightBooks logo.

Initiate Connection: In the Connect Now window, click Connect to BrightBooks.

Log In to BrightBooks: You will be redirected to the BrightBooks login page. Enter your BrightBooks credentials and click Login.

Select Business for Integration: From the Business Name list, choose the business you wish to integrate with Dext Prepare. Click Connect. Note that you will see this list only if you have a Bureau account.

Complete the Integration: Your BrightBooks business is now connected with Dext Prepare. Click Finish to finalize the setup.
- Select Tax Options: It is recommended to select Use Tax List to apply your BrightBooks VAT rates in Dext Prepare.
- Set Default Tax Codes: Choose a Default tax for Costs and a Default exempt tax code for Costs. These settings should reflect the majority VAT percentage used for purchases and can be adjusted before publishing documents.
By following these steps, you will successfully connect Dext Prepare with BrightBooks and configure your tax settings for seamless document management.
NOTE: Once you have connected your account with Dext Prepare, please be advised that if you do not use the same at all within 90 days then the connection expires. You will have to reconnect again.
Please note, you need to have an active DEXT subscription to connect to BrightBooks; you cannot connect a trial DEXT account to BrightBooks.

Reconnecting Dext to BrightBooks When No Company Appears
If you encounter an issue where no company is available to select during the reconnection process from Dext to BrightBooks, follow these steps: Open your Dext business and navigate to 'Connections' from the left-hand side. Click 'Integrations' and then select the 'Reconnect' button at the top left. If your company still does not appear, go to BrightBooks > Add-ins and disconnect BrightBooks from Dext. Your business should then appear in the dropdown on Dext. Refresh the page or log out and log back in for the changes to take effect.

Please note, if the dropdown for the business name is blank, please ensure DEXT and BrightBooks are fully disconnected. You can check this by going to BrightBooks, Add-Ins and ensure to click disconnect on DEXT.
Uploading, Editing, and Publishing Documents in BrightBooks from Dext Prepare
After connecting your BrightBooks business with Dext Prepare, you can upload, edit, and publish documents to make them available in BrightBooks. These documents will appear in either the Costs or Sales workspace. Note that in this context, "Costs" refers to Purchases.

Navigate to the Appropriate Workspace:
- For purchase documents, go to Workspaces > Cost > +Add Documents.
- For sales documents, go to Workspaces > Sales > +Add Documents.
- For bank-related documents, go to Workspaces > Bank > +Add Documents.
- For supplier statements, go to Workspaces > Supplier Statements > +Add Documents.
- Choose to upload documents either one per file or one per page, depending on your preference. You can also Drag and Drop files directly into the upload area.
- Select Document Type: Choose the category that best fits the document: Cost (for Purchases), Sales, Bank, or Supplier Statement.
- Assign Ownership: Specify the name of the user who is the document owner. If needed, you can also add a new user to manage the document.
- Review and Edit: After uploading, the feed will refresh, and the document status will change to To Review. At this stage, you can edit any details of the document if required.
- Please note that copies of invoices will not be accepted. Ensure you upload a new image of each invoice or transaction to avoid processing issues.
- Complete Mandatory Fields: If any mandatory fields are incomplete, a prompt will appear at the top of the screen. Ensure all required information is filled in. Once all details are reviewed and formatted, click Publish for each document to finalize.
- Review Published Items: Published documents will be accessible under the Dext Prepare menu in BrightBooks. For further details on managing these items, refer to the section Getting Feeds from Dext Prepare.
By following these steps, you can efficiently upload, review, and publish your documents from Dext Prepare to BrightBooks.
Please note, if you are having issues publishing/importing items to BrightBooks from DEXT, you may need to try disconnecting and reconnecting BrightBooks and DEXT once more.
Incorrect VAT on Transactions importing from DEXT to BrightBooks
If the incorrect VAT is being imported on your transaction from DEXT to BrightBooks, please ensure you have your TAX settings correctly set up on DEXT by completing the steps below.
- Open DEXT, scroll down, and select Connections and Integrations.
- Ensure USE TAX LIST is on and default TAX codes are selected.
- Once the above is done, you will need to go back to BrightBooks and remove the DEXT prepare feed, unarchive the published transactions on DEXT and publish them once again.
