The General Setup settings allow you to set up the following areas.
Business Details
You can view the basic business details such as name and address in this section. An information button beside states " Changes to the Business Name/Address can only be made in BrightHub".
- Access the settings page.
- On the Settings page, under the General Setup heading, click Business Details.
- The Business Details page appears. You can check all the details regarding your Business over here.
- Bright has now consolidated all its products under a single roof, BrightHub. With the consolidation implemented, you will be able to modify Business Details under the same.
- You have to log in to BrightHub and change all the Business Details. Following this, the changes would be reflected in your business.

User Access
Note: A new feature enables staff to view the Chart of Accounts Current and Comparative balances when the Access Chart of Accounts and Access Journals permissions are checked under Settings>General Setup> Staff Permission.
The user access section allows you to invite one or more users and accountants and assign software access; suspend access and remove a user permanently.
- Access the settings page.
- On the Settings page, under the GENERAL SETUP heading, click Users.
- The User Access page appears.
- A new column labelled Accountant has been released on the User Browse page. It appears as Yes or No based on the details.
- Users who also are Accountant can be removed directly from the inline menu dropdown.
- Through the User Access Page, you can do the following:
Note: A user can be in more than one organisation/practice.
Inviting a User to use BrightBooks
Bright has now consolidated all its products under a single roof, BrightHub. With the consolidation implemented, you will be able to Invite a User under the same.
- On the User Access page, click Invite User.
- You will be redirected to BrightHub which will allow you to Invite a User. You will find the detailed help here.
Removing a User on BrightBooks
A user can be removed/closed on BrightBooks
You can remove a user who has not posted on the account. If a user posted transactions on the account, you would need to close this user. (Closing a user would be the same function as removing a user, but they would remain on the user list with no access for Audit purposes. To complete this complete the steps below:
- Access the settings page.
- On the Settings page, under the GENERAL SETUP heading, click Users.
- Click the dropdown on the right side of the users email, click close or remove.
Inviting an Accountant
You can provide access to your business to an accountant by inviting. After a successful invitation, the accountant needs to log in to BrightBooks to use the business. To invite an accountant, complete the following steps.
- Log in to BrightBooks.
- On the Business page, click the required business. The Customers page appears.
- On the left pane, click Settings.
- On the Settings page, under the GENERAL SETUP heading, click Users.
- On the User Access page, click Invite Accountant.
- On the Invite Accountant window, enter the accountant's email ID and the accountant's name and surname are automatically populated.
- Provide access to the accountant, as needed.
- Click Save. The accountant is added as a user.
- If you invite a user with an existing email address but not an accountant, then an information message is displayed. "The email address which you have entered does not correspond with the name of an accountant held in our systems. Please contact our customer success team by email at brightbookssuccess@brightsg.com to request to have this accountant added to our database."
- If you invite a user with a non-existent login, then an information message is displayed. "The email you entered does not exist in BrightBooks. Please try with another email."
User Permissions
If the user is unable to open the business or has no access to certain pages, please follow the steps below:
1. Open the BrightBooks business.
2. Click into Settings from the top right-hand side.
3. Under General Setup select the Users menu.
4. Within the User Access page hover over the email address of the user and select the dropdown menu then click open.
5. On the Permissions pop-up tab make sure to tick all relevant access rights.
Resolving Timesheet Access Issues
If a user within your organization cannot access their timesheet on Brightbooks due to insufficient permissions, follow these steps to adjust permissions: 1. Navigate to Settings > Users. 2. Select the user by clicking on their email address. 3. In the Permissions section, ensure that all checkboxes related to 'Time' are selected. 4. Save the changes to update their permissions. If issues persist after creating a new company in Accounts Production, you may need to re-enable timesheet access as follows: 1. Go to Settings > General Setup > Users. 2. Click on the relevant user's name to access their Permissions settings. 3. Under the Time & Expense section, verify that the intended permissions are ticked. 4. Save any changes made. 5. As an additional step, check the Manage Time Recording settings and confirm that 'Enable Time Recording' is activated for each user experiencing access issues.
Historic Invoices
You can check your payment transactions for the business on this page.
- Click Settings from the top-right tab.
- Select Historic Invoices under General Setup.
- The Historic Invoices page opens. It shows a list of all your payment transactions for the business. You can Print the invoice details.
- You can see the payment transactions for the business till June 2024 here. Hover over the information button beside Historic Invoices to note the same. From July all transactions would be available under BrightHub.

Manage Currency
You can set the currencies the business will accept and also the rates. To manage currency, complete the following steps.
- Complete steps 1 to 4 as given in Business Details.
- On the Settings page, under the GENERAL SETUP heading, click Manage Currency. The manage currency page appears.
- To set up the base currency and use Yahoo exchange rates, click the button under the Multi-Currency Setup heading on the manage currency page and set the required details.
- To set up the currencies the business will accept as well as custom rates, on the manage currency page, click the button under the Currencies heading and set the required details.
Manage Time Recording
This setting is applicable if the business offers services. You can manage accounts for services by the time spent on providing services. You can change Settings, Manage Time/Expense Type, Manage Hours & Rates, and Change Time Recording.
Time Settings
A pop-up window appears on clicking Change Settings under Time Settings. You can select if you want to use time, projects, or both. You can choose the Default Time VAT Rate and Default Expense VAT Rate from the drop-down. You can Cancel or Save the changes made.
Time/Expense Type
A pop-up window displays a list of all your Time/Expense Types, You can select any from the list and Edit them if required. You can also add any new Time/Expenses if required. The window also allows you to Delete any entry.
Manage Hours and Rates
- The Time Users screen opens on clicking Manage Hours and Rates.
- You can even Invite an Accountant or User from this screen, the steps are mentioned above.
- On this page, If you click on the added user's email address, you can enable time recording from there. Check the box Enable Time Recording to start.
- Click Save to save the permission.
- An extended window opens that lets you enter the joining date, leaving date, chargeout rates and working hours of the user.
- You are now a Time User.
- If the number of Time Users is already maxed out, then you have to upgrade your business plan.
- With the consolidation implemented, you will be able to Add a Time User under the same.
- You will be redirected to BrightHub which will allow you to Add a Time User. You will find the detailed help here.
