Setting up a Contact Record
You can set up the following contact types:
- Customer
- Supplier
- Contact
- Prospect
- Payee
- Payer
The steps are almost the same with minor variations.
1. Log in and click the required business.
2. The Customers page appears. On the left panel, click CRM > Contacts.
3. The Contacts page appears. Click New.
4. The New Contact page appears. Enter the details of the contact you want to set up.
5. To save the contact details, click Save.
Setting up Multiple Contacts Quickly
The Quick Contact Record feature allows you to set up multiple contacts quickly. You enter less information than the regular contact creation form.
To set up, complete the following steps.
1. Log in and click the required business.
2. The Customers page appears. On the left panel, click CRM > Contacts.
3. The Contacts page appears. Click QCard.
4. The Add Quick Card window appears. Enter the required details and click Save.
Emailing and SMS Contacts
To email or SMS the contact, complete the following steps.
1. Log in and click the required business.
2. The Customers page appears. On the left panel, click CRM > Contacts.
3. The Contacts page appears. Click the 'drop-down' icon for the corresponding contact record and click Email or SMS from the menu.
4. Send an email or SMS.

To send SMS, you need to have adequate SMS credits. If credits are not available, you can buy credits. For steps, click here.

Viewing Contact Account
Every contact, except the payer, payee and business and personal contacts, has an account that shows all transactions performed on the contact. You can view the contact account. Complete the steps below.
1. Log in and click the required business.
2. The Customers page appears. On the left panel, click CRM > Contacts.
3. The Contacts page appears. Click the 'drop-down' icon for the corresponding contact record and click Account from the menu.
4. The account page shows the outstanding amount on the contact account.
5. To view all the transactions in an account, select Show All Transactions.
6. All transactions are displayed, as shown below.
Removing a Contact Record
To remove a contact, complete the following steps.
1. Log in and click the required business.
2. The Customers page appears. On the left panel, click CRM > Contacts.
3. The Contacts page appears. Click the 'drop-down' icon for the corresponding contact record and click Remove from the menu.
4. On the Confirmation Message window, click Delete. The record is removed.

You are not allowed to remove a contact record if transactions are posted against it.

Removing Prospects in Batch
You can remove multiple Prospect records in one or more batches.
1. On the Prospects page, tick the box under the Delete button.
2. All records are selected. You may also customise your batch by manually selecting the required records.
3. To remove, click the Delete button. The records are removed.
