To set up Opening Nominal, Debtor and Creditor balances, you would need to complete 3 steps:
- Create an Opening Balance Journal for all nominal codes, including the Debtor and Creditor Ledger nominal codes (also known as the sales ledger and purchase ledger). You can normally get the list of balances from your previous software.
- Post the Opening Balances on the Individual Debtor and Creditor Accounts through the opening balalnce sections under sales and purchases. This doubles the value in the Sales and Purchase ledger and also puts a value in the balance sheet suspense nominal code (999).
-
Create a Journal to cancel out the original Opening Balance values from the Opening Balance Journal and offset it against the Opening Balance amount that has gone into 999. This will then bring the balance sheet suspense code back to zero and restore the correct balances in the Sales and Purchases ledger.
Note - When entering the opening balance invoices for customers using the opening balance feature the document number used must be the lowest available number. This means if you did not enter these opening balances in the beginning and go to add them later after already issueing new invoices to customers you may encounter the floowing error.
"Document number must be less than 1"
This error indicates you have started issueing new invoices from invoice number 1 onwards and there are no available numbers left to post opening balances. If you get this error you can either delete the invoices you issued from number 1 onwards if there are not many and re enter them with new invoice numbers later or enter a regular invoice for the opening balance amount then manually post it to 999 instead.
