What determines which invoices appear?
When you generate a customer Statement, BrightBooks includes transactions based on:
- Date range
- Only invoices with a transaction date within the Statement’s From/To dates are shown.
- If an invoice date is before the From date or after the To date, it will not appear.
- Invoice status
- Only posted invoices and credit notes appear.
- Draft, unposted, or deleted invoices do not appear.
- Customer and currency
- The Statement only shows invoices for the specific customer you select.
- If you use multicurrency, the Statement will reflect the currency of that customer’s account.
- Posting and allocation
- Posted receipts and credit notes allocated to the customer will appear and affect the balance.
- Mis‑allocated items (to the wrong customer or invoice) can make a Statement look incomplete.
How to check a Statement that’s missing invoices
Use this quick checklist:
- Check the invoice itself
- Open the invoice and confirm:
- It is posted (not draft).
- The invoice date is correct.
- It is raised under the correct customer.

- When generating the Statement, confirm the From/To dates include the invoice date.
- If not, adjust the dates and regenerate the Statement.
- Check allocations
- Open the customer’s account and:
- Confirm the invoice is listed there.
- Check that any receipts or credit notes are correctly allocated.
- Correct any mis‑allocations and regenerate the Statement.

- If there are similar customer names/codes, make sure you’re generating the Statement for the same customer record that holds the invoice.

- Try regenerating it.

If an invoice is missing from a Statement, it is almost always because:
- The date range doesn’t include the invoice date,
- The invoice is not posted,
- The invoice is under a different customer, or
- There is an allocation or layout issue.
Check those four areas, correct as needed, and regenerate the Statement.
