Divisions
Divisions in BrightBooks allow you to categorise your financial data into specific segments, helping you track and report on different parts of your business independently.
What Are Divisions?
Divisions in BrightBooks are flexible tracking tools that can be used to monitor financial activity across various business segments. These can include:
Locations – e.g., different branches or offices
Projects – e.g., client jobs, construction projects, campaigns
Departments – e.g., Sales, Operations, HR
Cost Centres – for budgeting and financial analysis
By assigning transactions to a division, you can generate reports that show income, expenses, and performance specific to that division, giving you clearer insights and improved financial control.
Why Use Divisions?
Using divisions is helpful if you want to:
Track profitability by location, project, or team
Manage budgets across different areas of your business
Prepare segmented reports for internal analysis or stakeholders
Monitor project costs and ensure they stay within budget
How to Set Up Divisions
Log in to BrightBooks.
Go to Settings (gear icon in the top-right corner).
Select Divisions from the menu.
Click 'Use Divisions' to enable them.
Give a Short and Long description of what your divisions are, e.g, Loc, Locatio,n etc.
Click + Add New Division.
Enter the division name (e.g. “London Office” or “Website Redesign Project”).
Click Save.
🔹 Tip: You can create as many divisions as you need to suit your business structure.
Assigning Divisions to Transactions
When entering a transaction (e.g. invoice, journal):
Locate the Division dropdown field on the form.
Select the appropriate division.
Complete and save the transaction as usual.
This ensures the financial data is attributed to the correct part of the business.
Reporting by Division
To run reports filtered by division:
Navigate to Reports.
Select your desired report (e.g. Profit & Loss, Income by Customer).
Use the Division filter to select the division(s) you want to view.
Click Run.
Reports will display only the data associated with the selected division, making it easier to review performance in specific areas.
