To comply with financial regulations, Unipaas is required to verify the identity of every business using Payment Manager. This is standard practice for all regulated payment providers and is known as Know Your Customer (KYC), Know Your Business (KYB), and Anti‑Money Laundering (AML) verification.
What documents do I need?
Registered companies
| Document type | What is accepted |
| Proof of identity — for each owner or director | Passport or full driving licence (must be in date) |
| Proof of business address | Bank statement or similar document dated within the last 3 months |
| Company incorporation document | Certificate of incorporation or equivalent documentation |
| Beneficial owner (UBO) details | Full name, date of birth, home address, nationality, and percentage of ownership for anyone owning 25% or more of the business |
Note: UBO stands for Ultimate Beneficial Owner — the individual who ultimately owns or controls a business. Providing UBO details is a standard regulatory requirement for all payment providers.
Sole traders
| Document type | What is accepted |
| Proof of identity | Passport or full driving licence (must be in date) |
| Proof of address | Bank statement or utility bill dated within the last 3 months |
Sole traders may be asked for additional documents during review. You will be contacted by email if this applies.
Accepted file formats
- JPG, PNG, or PDF
- Files must be clear, legible, and unedited
- An error message will appear if a file is too large or in an unsupported format
Tip: If your photo ID has expired, you need a valid in‑date document. Expired IDs will not be accepted.
Verification statuses explained
For Ireland‑based vendors, payments can only be collected once the account is Approved.
| Status | What it means |
| Started | Onboarding form opened but not yet submitted |
| In Review | Documents submitted and under review. Approval may be same day if complete. |
| Action Required | Further documents or information needed — check your email |
| Approved | Full verification passed — payments and payouts can begin |
| Rejected | Account could not be approved |
My account shows “Action Required”
Check your email from Unipaas for details. Common reasons:
- Expired ID document
- Bank statement older than 3 months
- Name mismatch between account and bank
- Incomplete owner or director details
Upload the requested documents through your onboarding form. The underwriting team will contact you if they need anything further. Contact BrightBooks support at brightbookssupport@brightsg.com if you are unsure what to do.
What if my account is rejected?
Rejections are rare. The Unipaas compliance team will notify you by email. Once rejected, an account cannot be reopened. If you have already attempted to use Payment Manager, contact BrightBooks support — we will help you understand your options.
