1. Check the template you’re actually using
Start by confirming which invoice/print template is being used:
- Open the invoice (or other document) and check the template selected.
- Make sure this is the same template you’ve edited to add or change the details.
If you updated one template but are printing/emailing with a different template, your changes will not appear.
2. Confirm the details are set up in the template
In the Invoice and Print Templates area:
- Open the relevant template (e.g. Sales Invoice, Credit Note, Quote, Order, Statement).
- Check that:
- The section where the details should appear is enabled (e.g. header, address block, line details, totals, footer).
- The field or text is actually present in the layout (for example, customer VAT number, PO number, bank details, terms).
- You have saved the template after making changes.
If the field isn’t placed on the template, or the section is disabled, those details won’t show.
3. Check the underlying data on the record
If the field is on the template but still shows blank:
- Open the invoice or document itself.
- Confirm the relevant data is actually entered, for example:
- Customer/supplier address, VAT number, email, phone.
- Invoice reference, PO number, terms, notes.
- Product descriptions, codes, or custom fields.
- If the data is missing on the record, the template will show a blank space where that field is.
Make sure the information is stored on the contact, product, or transaction as appropriate.
4. Page layout, margins, and overcrowding
Details can be configured but still not visible due to layout issues:
- Too many lines or long descriptions can push sections off the printable page.
- Margins or spacing may be set so some fields are outside the printable area.
- Overlapping fields can cause some details to be hidden behind others.
To fix this:
- Reduce or shorten text in crowded areas (e.g. long terms or notes).
- Adjust margins, spacing, and field positions in the template.
- Check that fields are not overlapping in the design.
5. What to do if details still don’t show
If you’ve checked all of the above and the details still don’t appear:
- Confirm you are previewing/printing the latest saved version of the template.
- Try a different browser or PDF viewer to rule out a display issue.
- Add a simple test field or text (e.g., “TEST FIELD HERE”) in the area where the details should appear:
- If the test text shows, the issue is with the data or field mapping.
- If it doesn’t show, the issue is with the template layout or page setup.
- Compare with a standard/default template:
- See where that template places the same type of information.
- Adjust your custom template to match it, or use the default as a base.
